Event Director
Role Overview: The Event Director is responsible for overseeing the overall planning, strategy, and success of events. This role ensures that the event aligns with the organization’s mission and objectives, while also providing leadership to the Event Planning Team.
Key Responsibilities:
• Develops the vision and theme for the event.
• Works closely with the Event Planning Team to ensure smooth execution.
• Sets overall goals for the event, including participation targets, outcomes, and key messages.
• Coordinates with other community leaders, HOA, or external partners for approvals and collaboration.
• Manages the event budget (if applicable) and ensures all resources are allocated effectively.
• Ensures proper reporting, evaluation, and follow-up after the event.
Skills Needed: Leadership, strategic thinking, budgeting, communication, problem-solving.
Event Planning Lead
Role Overview: The Event Planning Lead takes charge of coordinating the details of the event and ensuring that all logistics are handled effectively. They collaborate with the Event Director and manage the Event Team to execute the event vision.
Key Responsibilities:
• Organizes meetings and discussions with the Event Team to create the event timeline and task assignments.
• Manages logistics, including venue, permits, and setup requirements.
• Coordinates the event schedule and timeline, ensuring all aspects run on time (e.g., speakers, activities, entertainment).
• Ensures all necessary equipment, supplies, and materials are ready for the event.
• Communicates with vendors, community members, and ambassadors for various aspects of the event.
• Ensures compliance with safety protocols and any HOA or community guidelines.
Skills Needed: Project management, organization, time management, communication.
Event Operations Coordinator
Role Overview: The Event Operations Coordinator manages the logistics of setting up, running, and breaking down the event. This includes all physical and operational tasks, from securing the venue to ensuring everything is cleaned up afterward.
Key Responsibilities:
• Coordinates setup (e.g., tents, tables, chairs, signage).
• Oversees event day logistics such as parking, registration booths, and crowd control.
• Works with the setup team to ensure everything is ready before participants arrive.
• Manages event breakdown and cleanup efforts, ensuring the site is left in good condition.
• Addresses any operational issues that arise during the event.
Skills Needed: Logistics coordination, problem-solving, time management, teamwork.
Ambassador Coordinator
Role Overview: The Ambassador Coordinator recruits, organizes, and manages ambassadors for the event. They are the main point of contact for ambassadors and ensure that everyone knows their role and has the resources they need to succeed.
Key Responsibilities:
• Recruits ambassadors for the event and assigns them to specific tasks (e.g., greeters, setup crew, activity facilitators).
• Communicates regularly with ambassadors before the event to provide details on their responsibilities and schedule.
• Ensures ambassadors receive proper training or orientation for their roles.
• Checks in with ambassadors during the event to provide support and address any issues.
• Recognizes and thanks ambassadors after the event, ensuring they feel appreciated.

Marketing & Communications Lead
Role Overview: The Marketing & Communications Lead is responsible for promoting the event to ensure maximum attendance and engagement. They manage the messaging, social media, email campaigns, and any other communication platforms to create buzz and excitement around the event.
Key Responsibilities:
• Develops the event promotion plan, including email, social media, and any print materials.
• Creates content for promotional channels, including event descriptions, flyers, and social media graphics.
• Engages with the community to spread awareness and excitement leading up to the event.
• Manages all pre-event and post-event communications, ensuring clear messaging.
• Collaborates with the Event Director and Planning Lead to ensure the event vision is reflected in all communications.
Skills Needed: Marketing, writing, social media management, creativity.
Sponsorship & Fundraising Coordinator
Role Overview: The Sponsorship & Fundraising Coordinator works to secure resources, donations, or sponsorships for the event. They connect with local businesses, partners, and community members to support the event financially or with in-kind contributions.
Key Responsibilities:
• Identifies potential sponsors and donors for the event.
• Reaches out to businesses or community partners for event sponsorships, monetary support, or in-kind donations (e.g., food, prizes, materials).
• Develops sponsorship packages and manages sponsor relationships.
• Ensures sponsors receive appropriate recognition during the event (e.g., logos on flyers, announcements).
• Works with the Marketing Lead to ensure sponsors are promoted in communications.
Skills Needed: Relationship building, fundraising, communication, negotiation.
Event Safety Officer
Role Overview: The Event Safety Officer ensures that all safety protocols and regulations are followed during the event. They assess risks, develop a safety plan, and coordinate with ambassadors and attendees to ensure a safe environment.
Key Responsibilities:
• Develops a safety plan for the event, including crowd control, emergency procedures, and first aid.
• Works with the Operations Coordinator to ensure the venue is set up in a way that promotes safety.
• Trains ambassadors or staff on safety procedures and emergency protocols.
• Coordinates with local authorities (if necessary) for permits or additional safety measures.
• Monitors the event for any safety risks and responds quickly to any incidents.
Skills Needed: Risk assessment, first aid knowledge, organization, attention to detail.
Event Host / Master of Ceremonies (MC)
Role Overview: The Event Host or MC is responsible for engaging with the audience and ensuring the event runs smoothly from a presentational standpoint. They introduce speakers, announce activities, and keep the event energy up.
Key Responsibilities:
• Acts as the public face of the event, welcoming attendees and keeping them informed.
• Announces activities, performances, or speakers in a timely manner.
• Engages with the audience to maintain a positive and energetic atmosphere.
• Acts as a liaison between the event organizers and the attendees, addressing any public-facing questions or concerns.
• Keeps the event on schedule by managing time effectively.
Skills Needed: Public speaking, time management, energy, and charisma.
